Role Impact:

The Security Access Administrator is responsible for the administration of the tenant access control system at a high profile, office property.  A critical component of this position is the provision of exceptional customer service.   


What you will deliver:

  • Produce individual photo pass cards on a tenant by tenant basis as authorized by tenant contacts.
  • Cancel pass cards as authorized by tenant contacts.
  • Arrange for the timely delivery or pick up of completed pass cards.
  • Organize and maintain pass card related applications, by ensuring all materials are accurately filed so documents are readily available and easily retrievable when necessary.
  • Provide and maintain courteous, professional and efficient service to internal and external clients and business associates by responding to requests for information and redirecting inquiries beyond own scope of expertise in order to maintain good levels of customer service.
  • Act as a liaison between security/management staff and tenant contacts for pass card and access control system issues.
  • Use access control system to maintain tenant operational schedules, which can include but is not limited to special requests. 
  • Produce audits of specific system transactions upon request.
  • Prepare invoices for tenant charges relating to property access control.
  • Maintain database of property access card information.
  • Maintain an accurate filing system of all pass card authorization forms.
  • Ensure proper scheduling  & programming of ACM Systems
  • Ensure that the property ACM system is working as designed, and ensure that all maintenance requests are managed through our contract service providers.
  • Provide Tenants with semiannual access card report outlining the access cards which can access their premises.
  • Troubleshoot errors or malfunctions within the Access Control System.
  • Coordinate and track maintenance requests to the property ACM System
  • Program and maintain morse key and mobile key access; including additional and new profile set up, training new employees to sign keys in/out and conducting monthly audits.
  • Request service for Avigilon System (CCTV) 
  • Place orders to restock inventory of passcards and card clips
  • Compile invoices on a monthly basis
  • Provide support and back up in the department when needed.


What your strengths are: 

  • Minimum Grade 12 or equivalent
  • Minimum 2 years related work experience
  • Previous security experience is an asset
  • Thorough knowledge of administrative practices, office policies and procedure, report writing and security pass card processes
  • Computer literacy and fully proficient with Word, Excel and Gmail.
  • Experience using the Lenel Onguard Programming System is an asset
  • General pass card billing knowledge is desirable
  • Strong written and verbal communication skills
  • Positive and professional demeanor, ability to handle stressful situations with tact and diplomacy
  • Strong customer service focus is required
  • Great teammate 
  • Strong organizational, prioritizing and time management skills
  • Ability  to multitask and work independently with little supervision, in a fast paced environment
