Role Summary:

Primary focus is to provide administrative and accounting support to the Managers and Staff of the  Management and Financial Reporting Department. 

Administrative support includes but is not limited to: preparing and distributing documentation and reports, taking minutes, answering telephones, scheduling appointments, meetings, and conferences, making travel arrangements, coordinating special projects and prioritizing workload and completing on an accurate and timely basis in order to ensure the departments has the relevant materials required to operate their specific areas of the business.

Accounting supports includes but is not limited to:  journal entries, reconciliations, charge backs, set up of vendor codes for CTI, and expense report coordination between Portfolios and Head Office.

You will:

  • Reconcile bi-weekly payroll and verify wire transfers for all head office and property payroll
  • Co-ordinate receipt of Energy Advantage energy payment transfer requests, generate journal entries for Property Accountants to book wire transfer payments and book journal entries to record corporate cash
  • Prepare online bank account transfers for Energy Advantage
  • Co-ordinate Direct Energy electricity swap payments / receipts and reconcile monthly property charges to actual consumptions
  • Prepare journal entries to reallocate expenses as required to the various properties for shared expenses
  • Prepare overhead head count and recoverability report on a quarterly basis and compare Actual to Budget
  • Co-ordinate and reconcile payment of employee expense reports between Portfolio Offices, Head Office and HR
  • Prepare spreadsheets as needed to assist in analyses as required
  • Set up vendor codes in CTI per approved requests
  • Set up and maintain Accounting Calendar deadlines, Department Calendars and Email groups
  • Co-ordinate monthly manager meetings and document minutes to meetings each month
  • Manage administrative affairs for a busy department of over 20 people
  • Co-ordinate travel plans for department
  • Run monthly Journal Entry reports
  • Filing of journal entries, maintaining Energy Advantage correspondence to ensure that department is in compliance with requirements of corporate policies and procedures
  • Distribute monthly overhead and management reports
  • Record time and attendance for department 
  • Prepare cheque deposits and associated journal entries as required
  • Maintain department website and information hub
  • Maintain department records and file storage (Iron Mountain)
  • Prepare expense reports for department leaders
  • Coordinate catering for meetings as required


You have:

  • College diploma and/or University degree in Business, or Accounting preferred
  • Minimum 3 years related work experience, with at least 12 months supporting a large team
  • Advanced skills in Microsoft Office applications including Microsoft Word, Excel and PowerPoint
  • Strong analytical and financial/accounting skills
  • Strong organizational and administrative skills
  • Ability to interact at all organizational levels
  • Ability to work independently and as a team-player with a strong customer service orientation
